Director of Enrollment Technology and Operations

Summary:
Assist with planning, process review, execution and evaluation of all aspects related to initiating and completing applications for admission to Bradley University.
Assists in supporting all aspects of the recruitment process leading to success meeting University enrollment goals.
The Director of Enrollment Technology & Operations supervises operations and technology staff and assigns tasks and responsibilities accordingly to support the enrollment division’s office management, data entry, and outreach needs to ensure organizational effectiveness.
This position reports to the Vice President for Enrollment, Marketing, Communications & Retention.
Responsibilities: This list is not all inclusive, and is meant to represent the general responsibilities of the Director of Enrollment Operations & Technology.
Oversees the Implementation of our Slate-Hosted Application for our First-Year, Transfer, International, and Graduate Students Manage all aspects of data collection, reporting, and data sharing between Technolutions Slate and other systems, including the planning, development, testing, training, functional maintenance, and documentation of policies and procedures.
Build and maintain solutions to improve efficiencies in Admissions processes in Technolutions Slate workflow process building, query building, field and prompt creation, portal creation and maintenance, and other tasks necessary to build and maintain the CRM.
Provide leadership and primary support for all processing related to the Admissions CRM Technolutions Slate and the Common Application.
Records documentation for all systems and processes.
Serves as first-level support for CRM-related concerns raised by internal and external stakeholders.
Completes work requests as assigned, including but not limited to the creation of internal forms, development of workflows, population maintenance relating to permissions, realms, dataset upload, queries, reports, and custom coding assistance as needed.
Oversees record consolidation of duplicate records.
Creates and manages queries and reports to support business and operational needs across various systems.
Locates and defines new process improvement opportunities.
Generating daily, weekly, monthly, and annual reports to keep front-line staff and faculty updated about progress toward goals; producing mailing lists and email lists as needed.
Supports recruitment operations including the successful implementation and ongoing use of Slate, as well as the development, execution, and analysis of data-driven recruitment campaigns.
Ensuring the accuracy of prospect, inquiry, and application processing and data imports and exports; the timely and accurate processing of student documents and records; the production of accurate standard and ad hoc reporting, communication flow planning with the director of admissions, and inventory control and fulfillment.
Fulfilling data requests from various campus departments and external vendors Oversees the management and maintenance of all electronic records within Slate.
Creates and executes data audits to ensure data integrity.
Works with IT to ensure the accuracy of data flow from Slate to Acinquire, especially bio-demographic information, test scores, and decision data.
Manages payment gateway and creation of student records in Acquire.
Trains and supports users on the effective use of various Admission systems.
Establishes and maintains a record of minimum technical competencies for admission staff and ensures that they are supported in the development and maintenance of such skills.
Update/Maintain Applicant Status Page and Bradley Applicant Portal content as an administrator.
Manage admissions IT, Operations, and Distribution staff and processes associated.
Perform other duties and assist with projects as assigned.
Knowledge, Skills, Abilities Knowledge of customer relationship management (CRM) systems.
Ability to multi-task and manage competing priorities.
Ability to set priorities and organize tasks efficiently.
Ability to think and collaboratively.
Computer skills using a Windows-based operating system, including Microsoft Office.
Strong Customer Service skills.
Preference for current experience with Technolutions Slate (undergrad and grad instances).
Education & Experience Bachelor’s Degree required, a master's degree in a related area such as Educational Technology, Data Analytics or Information Systems is preferred.
5 years of admission experience; with a proven track record of leading teams or priorities that contribute directly to the success of meeting University enrollment goals.
Experience in PC based word processing, database management, spreadsheet applications, statistical software, and report management.
Slate experience.
Proficiency with Microsoft Office software preferred.
