* Analyzes and organizes office operations such as personnel, information management, filing systems, requisition of supplies, and other administrative services.
* Performs bookkeeping duties such as:
* Verifies, allocates, and posts details of business transactions to subsidiary accounts in journals or computer files from documents such as sales slips, invoices, receipts, check stubs, and computer printouts.
* Summarizes details in separate ledgers or computer files and transfers data to general ledger.
* Reconciles and balances accounts.
* Compiles reports to show statistics such as cash receipts and expenditures, accounts payable and receivable, and other items pertinent to operation of business.
* Calculates employee hours from records or time cards and submits for payment of wages.
* Complete, and mails invoices to customers.
* Completes records to or through trial balance.
* Maximizes office productivity through proficient use of appropriate software applications.
* Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
* Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
* Answers questions about organization and provides callers with address, directions, and other information.
* Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
* Receives, sorts, and routes mail, and maintains and routes publications.
* Processes payments for services and products.
* Orders, receives, and maintains office supplies.
* Performs other clerical duties as needed, such as filing, photocopying, and collating.
* Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
* Reviews records to ensure completeness, accuracy, and timeliness.
* Prepares activities reports for guidance of management.
* Complies with company safety objectives.
